Grievance Mechanism & Whistleblowing Procedure

Purpose and Scope

VAXA has established a grievance mechanism to enable internal and external stakeholders to raise concerns related to human rights, labour conditions, health and safety, and ethical conduct in VAXA's own operations and supply chain.

This grievance mechanism supports compliance with EU Taxonomy Regulation on Minimum Social Safeguards and is aligned with the UN Guiding Principles on Business and Human Rights.

The grievance mechanism is available to:

  • Employees and on-site contractors
  • Suppliers, subcontractors, and their workers
  • Other business partners and external stakeholders

The mechanism covers issues arising from VAXA's own operations and its value chain.

Issues Covered

Complaints may relate to actual or potential adverse impacts on human rights, including but not limited to:

  • Labour rights and working conditions
  • Discrimination, harassment, or unequal treatment
  • Occupational health and safety
  • Breaches of the Supplier Code of Conduct
  • Other matters relevant to the EU Taxonomy Minimum Social Safeguards

Complaints may be submitted anonymously.

The grievance mechanism is designed to be accessible, predictable, and transparent. Complaints can be submitted through the form below or via a dedicated email address.

Whistleblowing and Non-Retaliation

In accordance with Article 18 of EU Taxonomy Regulation on Minimum Social Safeguards, VAXA:

  • Allows anonymous reporting
  • Prohibits retaliation against individuals who raise concerns in good faith
  • Protects whistleblowers from dismissal, discrimination, or other adverse treatment

Complaint Handling and Resolution

Receipt and Registration

All complaints are received by a designated responsible person and recorded in a confidential log. Anonymous complaints are registered without identifying information.

Assessment and Investigation

Complaints are assessed to determine relevance to human rights, labour, or ethical matters and investigated in a proportionate manner, considering the severity and likelihood of the potential impact.

Corrective Actions

Where adverse impacts are identified, VAXA defines and implements appropriate corrective actions, including engagement with suppliers or business partners where relevant.

Closure and Follow-Up

Complaints are closed once corrective actions are completed or mitigation measures are in place. Where possible, feedback is provided to the complainant.

Governance, Confidentiality and Oversight

The grievance mechanism is overseen by management. Complaints are handled confidentially, and information is shared strictly on a need-to-know basis.

Review and Continuous Improvement

The grievance mechanism is reviewed on an annual basis to ensure continued alignment with EU Taxonomy and NEFCO's environmental and social requirements. The review considers:

  • Number and type of complaints
  • Effectiveness of corrective actions
  • Lessons learned and emerging risks
